BPR Administrative Assistant & NETA Liaison

Part Time / Long Term Temporary

Job Summary: The Administrative Assistant supports daily business operations and serves as primary liaison to the NETA Business Center. The Administrative Assistant reports to BPR’s CEO with dotted-line reporting to the Director of Development and the Director of Business Sponsorship.

General:

  • Station liaison to NETA, which provides accounting and human resources services to BPR.
  • Provide confidential and general administrative support to CEO.
  • Provide general administrative and clerical support to NETA, BPR Management & Staff including sorting incoming and outgoing mail, data entry, scanning, copying, and filing.
  • Maintain electronic and hard copy filing system.
  • Assist tax compliance and reporting.
  • Maintains office supplies for departments and reorders supplies as needed.
  • Manage postage machine and provide regular reports to NETA.
  • Manage BPR Parking Passes.
  • Performs all other duties as assigned within the scope of this position.
  • Assist in resolving administrative concerns or issues.

Accounts Payable & Accounts Receivable:

  • Scans invoices, documents, staff reimbursements, and deposits in Doc-Link™ for additional processing by Business Center accountants and controllers on a weekly basis.
  • Scan deposit recap in Doc-Link™ detailing the cash receipts along with a copy of the deposit ticket and check images to NETA for additional processing by Business Center accountants and controller.
  • Receive and process all BPR cash receipts and make bank deposits on a regular basis.
  • Process A/P invoices according to Blue Ridge Public Radio’s internal control guidelines.
  • Import the A/P and cash disbursements files which include detailed monthly data from NETA into its General Ledger on a weekly basis.

Business Sponsorship Support:

  • Monitoring aging for business sponsorship reports
    • Running monthly aging report and send to Business Sponsorship Team
    • Highlight who is behind on payments
    • Reminders about past due for collections, to Director of Business Sponsorship Team
  • Business Sponsorship Billing (Monthly) (E-Notary Desired).
  • Business Sponsorship Deposit Reconciliation (Weekly).

Human Resources:

  • Assists NETA onboarding of new employees (in-processing forms, I-9, W-4).
  • Assists NETA off-boarding process for out-going employees (termination of benefits, exit interview).
  • Assists NETA in the coordination of benefit enrollments for health, dental, life, AD&D, and FSA.
  • Assists NETA with Retirement plan administration.
  • Assists NETA with opening recruitment process to include job postings, tracking of applications, coordinating interviews, checking references, and background checks.
  • Assists in BPR’s renewal process for benefits.
  • Gathers documentation for Equal Employment Opportunity reporting, files FCC-EEO1 report annually with approval from HR.
  • Maintains both CPB and FCC in house files.
  • Maintains FCC filing requirements throughout the year for FM licenses.

Payroll:

  • Coordination with station managers for verification of employee timecards.
  • Prepares and submits payroll changes to NETA for payroll preparation.
  • Coordinates the payroll review process once payroll has been prepared.
  • Coordinates and sends new hire paperwork and termination paperwork to NETA in a timely manner for onboarding and off-boarding functions.
  • Directs agency tax letters and state tax rate notices to NETA.
  • Forwards garnishment and child support orders to NETA.
  • Sends employee retirement contribution changes to NETA.
  • Forwards salary and wage changes, personal information changes, withholding tax changes, and deduction changes to NETA in a timely manner.
  • Prepares and submits payroll changes to NETA for payroll preparation
  • Coordinates the payroll review process.

Board of Directors (BOD) and CEO Support:

  • Creates and hosts all online Zoom meetings for BOD committee and general meetings.
  • Collects & distributes appropriate documents for each board meeting.
  • Take notes/minutes during all BOD meetings (including committees).
  • Maintains BOD Meeting Schedules
  • Maintains BOD Member List

Education & Experience Required:

  • Associates Degree or equivalent experience
  • 3+ years administrative experience, with increasing responsibility
  • Detail oriented with good analytical skills
  • Payroll and employee benefit experience
  • Proficient in business software programs
  • Experience supporting accounts receivable and payable processes.
  • Strong communication skills – writing, speaking and interacting professionally.
  • Exceptional customer service skills
  • Experience handling sensitive information with the highest degree of integrity and confidentiality
  • Proven problem solver able to work under deadline in an organized and time efficient manner. Ability to juggle multiple projects accurately.

Job Location & Work Schedule:

28 hours per week with Hybrid Work Design

  • Monday, Tuesday, & Wednesday 9AM till 5PM at 73 Broadway Street offices.
  • Thursday & Friday 9AM till Noon at home office or 73 Broadway Street offices.
  • This position pays $20 an hour and is part time temporary 6 to 9 months (with potential for extension) no benefits other than those federally or state required.
